This policy explains, in plain English, what personal information Groundsman handles, why, and the choices you have.

Who we are
Groundsman provides property and estate maintenance software at groundsman.ai and app.groundsman.ai. In this policy, “we” means Groundsman and “you” means anyone who visits our website or uses our app.
Two kinds of information
Information our customers put in Groundsman. Companies that use Groundsman (our customers) store information about their properties, owners, residents, staff, guests and vendors. For that information, the customer decides what is collected and why, and we process it on their behalf under our agreement with them. If you are a resident, guest, owner or vendor and have a question about your information, please contact the company that manages your property; we will help them respond.
Information we collect for ourselves. This includes account details for people who sign up, messages sent through our contact form, and basic information about how our website is used.
What we collect
- Account information: name, email, phone number, company and role.
- Content you add: requests, photos, documents, notes and messages you create in the app.
- Location, for field staff only: if a company turns it on, location is collected only while a worker is on shift and only for work purposes, with a visible indicator. Raw location points are deleted after 90 days by default.
- Calls and texts: if a company uses the phone and text concierge, calls are recorded with notice and transcribed, and kept according to the company's retention setting.
- Usage information: pages visited, device and browser type, and diagnostic logs that keep the service secure and working.
How we use it
- To provide, secure and improve Groundsman.
- To send service messages, such as notifications you or your company have chosen.
- To answer your questions and provide support.
- To meet legal obligations.
We do not sell personal information. We do not use customer data to train AI models.
AI features
Some features use AI models to classify requests, read documents and draft summaries. These models run within our cloud provider's environment under our control. We remove personal details from AI requests where they aren't needed, and log each AI action.
Who we share it with
- Service providers who help us run Groundsman, such as cloud hosting, email delivery and telephone carriers, bound by contracts to protect it.
- Integrations you turn on, such as accounting or calendar services.
- Legal reasons, when required by law or to protect people's safety.
Security
We encrypt information at rest and in transit, enforce access by role in our database, and keep an audit log. See Security and trust for details.
Your choices and rights
You can access, correct, export or delete your information. Customers can export their full data at any time. Depending on where you live, you may have additional rights under state law, such as the right to know, delete or correct personal information, and to opt out of certain uses. We honor Global Privacy Control signals on our website. To make a request, email hello@groundsman.ai.
Text messages
If you receive texts from Groundsman on behalf of a company, reply STOP to opt out at any time and HELP for help. Message and data rates may apply.
Children
Groundsman is not directed to children under 13, and we do not knowingly collect their information.
Changes
If we make material changes, we will update this page and the date above, and notify customers by email.
